File uploads & storage

FieldLabel lets your team attach files directly to the records you already work with every day. Keep manuals, warranties, install photos, and inspection PDFs right on the asset, job, or customer they belong to, so the right document is one tap away in the field.

  • Attach one or more files to any asset, job, or customer record.
  • Upload images (JPG, PNG, GIF, WEBP) and PDFs, up to 25 MB each.
  • See a list of attached files with name, type, size, and upload date.
  • Open or download any attached file in a new tab.
  • Delete a file you no longer need.
  • Admins choose which record types accept uploads.

Both admins and members can upload, view, download, and delete files — it’s everyday fieldwork. Configuring storage (the steps below marked “Admins only”) is limited to admins.

For most organizations there’s nothing to set up. As soon as you’re on a paid plan, file storage runs on FieldLabel Storage — FieldLabel’s own hosted storage — and uploads work automatically. To confirm it’s on:

  1. Go to Settings → Cloud Storage (admins only).
  2. Look at the File storage card. It explains that your files are stored in FieldLabel’s hosted storage and shows a green Enabled status.
  3. If you’re still on the Free plan, you’ll see an Unlock file storage prompt instead. Upgrade to Basic or higher to turn storage on.

Admins decide whether assets, jobs, and customers each accept file uploads. All three are on by default.

  1. Go to Settings → Cloud Storage (admins only).
  2. Find the Per-record upload settings card.
  3. Toggle the switches for Assets, Jobs, and Customers on or off.
  4. Changes save immediately.
  1. Open the record’s detail page — an asset, a job, or a customer.
  2. Scroll to the Files card, which shows how many files are currently uploaded.
  3. Drag files onto the dashed dropzone, or click Upload Files and pick files from your device.
  4. Wait for each upload to finish — you’ll see a spinner, then a green ✓ Complete. The file then appears in the Files table.
  1. Open the record’s detail page and find the Files card.
  2. In the Files table, locate the file’s row.
  3. Click the open icon in the Actions column (tooltip Open file).
  4. The file opens in a new browser tab.

Download links are temporary, secure links generated fresh each time you open a file (they expire after about an hour), so you can’t bookmark a file’s direct URL — always open it from the record.

To remove a file, click the trash icon in its Actions column and confirm the “Are you sure you want to delete this file?” prompt. This removes the file from both the record and storage.
