QR labels & stickers
QR labels are the heart of FieldLabel. Each label carries a unique QR code that, once linked to an asset, lets anyone scan to see that equipment’s details, contact you, and view upcoming maintenance. You generate labels in batches, print them at home or order professionally printed weatherproof stickers, and link each one to the asset it lives on.
What a label’s QR code points to
Section titled “What a label’s QR code points to”Every label has its own scan URL. When someone scans it, they land on a public QR scan page for your organization — no login required. Before a label is linked to an asset, the page simply shows your company branding and contact buttons. Once it’s linked, the page adds the asset’s details and any pending maintenance tasks. (Logged-in staff who scan are taken straight to the asset’s detail page instead.)
Generate a batch of labels
Section titled “Generate a batch of labels”Generating labels is an admin task. Head to Labels in your organization’s navigation, then create as many as you need.
- Open your organization and go to Labels in the navigation.
- Click Generate Labels (top right) — or Generate your first batch if you don’t have any labels yet.
- Enter the Number of Labels (1–1000 per batch). On the Free plan the maximum is clamped to your remaining allowance.
- Pick a Label Layout (Simple, With Logo, or With Contact Info) and a Label Size (Outdoor 3”×6” or Indoor 1.5”×3.5”). For With Contact Info you can add a Custom Description.
- Check the live sticker preview on the right.
- Click Generate Labels (the button shows how many you’re creating). You’re returned to the Labels list with the new labels added.
As you approach the Free cap, FieldLabel warns you on the Generate page and disables the button once you’ve hit the limit. Your chosen layout, size, and description are saved to your organization’s label settings for next time.
Browse, view, and print labels
Section titled “Browse, view, and print labels”The Labels list shows every label with its code, status (Available, or In Use with the linked asset), and whether it has been printed. Search by label code, filter by created date, and sort to find what you need.
Printing at home is available on every plan, including Free.
View, download, or print a single label
Section titled “View, download, or print a single label”- Go to Labels and find the label you want.
- Click View on that row to open the QR Code dialog.
- Review the rendered QR image and the Scan URL.
- Click Download to save it as a PNG, Print to open a print-ready window, or Open URL to load the public scan page.
Downloading or printing a label automatically marks it as Printed.
Bulk-print labels as one PDF
Section titled “Bulk-print labels as one PDF”Need a whole batch at once? FieldLabel combines your selected labels into a single PDF in the background.
- Go to Labels.
- Select labels with the row checkboxes, the header “select all on this page” checkbox, or the Select all option to include everything matching your current filters.
- Click Print (the button shows how many are selected, and reads Print All when everything is selected).
- The Print jobs drawer opens. The PDF renders in the background — download it there when it’s ready. You’re also emailed when it’s done.
Your selections persist across pages, and there’s no limit on how many labels you can bulk-print at once.
Link a label to an asset
Section titled “Link a label to an asset”A label isn’t useful until it’s tied to a piece of equipment. Both admins and members can link labels — it’s a core fieldwork task. The most common way to reach the link screen is to scan an unlinked label and choose to link it.
- Reach the Label Ready to Link screen — for example, by scanning a label and choosing to link it.
- Choose Link to Existing Asset or Create New Asset.
- Existing asset: search by model, serial, or description, click the asset to select it, then click Link Label. You’re taken to that asset’s detail page.
- New asset: you’re taken to the New Asset form with this label already attached.
A label can only be linked to one asset at a time. If a label is already linked, you’ll see a Label Already Linked warning with options to View Asset Details or Relink This Label (relinking removes the link from the current asset). If you allow location access in your browser, FieldLabel captures where the label was linked.
Order professional stickers
Section titled “Order professional stickers”Rather than printing at home, you can order professionally printed, weatherproof stickers shipped to you with free shipping. You’ll find this under Settings → Printed stickers, or via the Order printed stickers banner on the Labels page.
Ordering and paying is an admin task. Members can request stickers instead (see below).
- Go to Settings → Printed stickers and click Order stickers to open the wizard.
- Design: confirm the layout, size, and (for With Contact) description, and review the preview. Changes save to your label settings.
- Quantity: enter how many stickers — minimum 100, in multiples of 100, up to 100,000. The Estimated total updates live, with a free-shipping note.
- Review: check the design, quantity, free shipping, and total, then click Pay with Stripe.
- Complete payment on Stripe (US/CA shipping address; promotion codes accepted). On return you’ll see “Payment received — your sticker order is being prepared.”
After payment, FieldLabel adds the ordered quantity of new labels to your account and marks them as printed. The design is snapshotted at checkout, so later settings changes won’t affect what was printed.
Members: request stickers
Section titled “Members: request stickers”Members can’t run Stripe checkout themselves, but they can ask an admin to place an order.
- Go to Settings → Printed stickers and click Request stickers.
- Enter a quantity (minimum 100, in multiples of 100) and an optional note describing what you need them for.
- Click Send request. All organization admins are emailed your request with a link to place the order.
Order history
Section titled “Order history”Under Settings → Printed stickers, the Order history shows each order’s status, total, free-shipping badge, tracking info once shipped, and a link to the Stripe invoice. Click View labels on an order to open the Labels list filtered to just that order’s labels (shown as a “Sticker order” filter chip). Order history is available on Basic and above.
